The Background
Founded in 1996, Rocky Mountain Microfilm and Imaging (RMMI) started with two scanners. The company has since grown, providing document conversion, storage, and management services to clients in Colorado, Kansas, and Wyoming. As a full-service document management and scanning service bureau, RMMI has built a reputation for handling complex, large-scale capture projects across industries.
The Challenge
Prior to automating with OPEX®, RMMI used a multi-step scan model for both clean and messy work, including records and remittance. Documents are rarely clean and perfect, requiring setting adjustments and additional steps to accurately capture color images, different document types, and varying paper sizes, including handwritten forms and receipts. RMMI wanted to improve this process, save time, and boost profitability, leading the company to search for a solution that could streamline the process while integrating with its workflow.Key Challenges

The Solution
RMMI was familiar with OPEX through a mutual client that uses OPEX systems to process remittances. In 2024, RMMI implemented a pilot program with OPEX’s scanners. Once they proved successful, RMMI invested in two OPEX Falcon®+ One-Touch document scanners. The Falcon+ systems connect with virtually any document capture and management software via API, enabling RMMI to integrate the solution with its own Digitech Capture Suite and OPEX’s CertainScan® software, replacing its previous capture step. The new solution from OPEX maintained RMMI’s previous indexing, scanning, and QC workflow while saving time by removing additional steps, including manual setting changes.
The Falcon+ allows operators to use the prep and scan workflow to handle documents and make decisions quickly as they are fed into the scanners. The Falcon+ systems transform how messy work is handled, removing the need to stop the scanning process to change settings or handle different document types or sizes. The ID Assist Tower on the Falcon+ enables the operator to swipe a document to determine the type, allowing RMMI to create document breaks and force page types in seconds. OPEX scanners also enable barcode identification, creating another powerful advantage for RMMI that saves time. Prior to OPEX’s scanning solution, RMMI needed five to six hours to complete a box of student records but now completes the process in two to three hours.
Additionally, RMMI utilizes the optional external arm and capture tray on the Falcon+ scanner for large-scale projects and materials not suitable for scanning, such as metal file folders. External capture files from Falcon+ are easily imported to an existing batch in CertainScan, then to RMMI’s centralized data directory, keeping the process seamless.

The Future
RMMI plans to expand the use of its OPEX scanner across more project types to achieve more time and efficiency gains. The company is also continuously improving its own software platform with the hopes of leveraging more AI features in the scanning process to automate further.
